Key Volunteer Positions


The WRA is now accepting applications for the following Key Volunteer Positions.  Applicants must be 18 years of age and may apply as individuals or as a team of co-volunteers. These positions will be ratified for one- or two-year terms at an Executive Committee meeting. Key Volunteers are not Directors and do not have a vote at meetings of the Board.

 

Key Volunteer Positions

FUN Coordinator

  • Point of contact for FUN1 and FUN2 parents & coaches for general questions and concerns 
  • Organize FUNFest at Annual Tournament
  • Organize FUN Year End event
  • Liaison between FUN1 and FUN2 Coaches / Volunteers and the Board to:
    • Support Coach Development in the recruitment, selection and development of coaching staff 
    • Work with Player Development to ensure vendors are scheduled as required
    • Assist Registrar and Coach Development in ensuring all team staff are registered in required timelines (this includes completing and submitting criminal record checks) 
    • If required, participate in FUN2 team formation in collaboration with 2nd VP and Team Formation Committee
    • Inform Marketing & Sponsorship of needs for on-ice support & volunteers and need / impact of additional Come Try Ringette Events

Works closely with: 2nd VP (LORL Rep), Coach Development, Player Development, Marketing & Sponsorship

Social Media Coordinator

  • Establish a process for Coaches and Team Managers to submit content for Social Media
  • Post WRA updates & engage followers on social media platforms (communicate upcoming games, events and other publicly available information; conduct polls and contests, etc.)
  • Support Registrar in mass communications through social media promotion (e.g. “Check Your Emails…”)
  • Follow other Ringette Associations, RO and Ringette Canada on social media platforms and repost relevant information to WRA social media platforms
  • Support Coordination of Media Day / Photography

Works closely with: Marketing & Sponsorship, Registrar

Referee in Chief / Minor Officials Coordinator

  • Coordinate ref clinics for WRA
  • Updating officials database and ensuring officials are qualified
  • Assign officials to all tournament, league games, and exhibition games
  • Prepare and submit monthly pay including tracking kilometres and out of town games 

Works closely with: Treasurer, Ice Scheduler

If vacant, duties are performed by: 

Equipment Coordinator

  • Manage the WRA Equipment Rental Program
  • Order replacements for lost or damaged rings and equipment 
  • Organize distribution of team equipment at the start of the season (Jerseys, Rings, First Aid, Goalie Equipment if required) 
  • Organize return of team equipment at the end of the season and complete inventory of lost / damaged equipment

Tournament Coordinator

  • Plan, organize and execute annual tournament
  • Oversee Fundraising and Sponsorship activities
  • Request and support volunteers

Works closely with: Treasurer, President

If vacant, duties are performed by: 

Webmaster

  • Support news postings on www.whitbyringette.com
  • Responsible for email and site accounts
  • Reviews and provides suggestions/support for Website changes 

Works closely with: Registrar, Ice Scheduler

If vacant, duties are performed by: 

Sponsorship  & Fundraising Coordinator

  • Conduct Community Outreach to identify and secure sponsors or fundraising opportunities for the Association
  • Ensure Association Commitments to Sponsors are met (e.g. provide Logos to Webmaster, coordinate with Social Media Coordinator to promote sponsors, etc.)
  • Support Team Managers in identifying and securing sponsors and fundraising opportunities at the team level, including reviewing and updating Sponsorship Letter Annually
  • Support Treasurer as needed with Bingo, in collaboration with Volunteer Coordinator

Works closely with: Secretary, Treasurer, Team Managers, Marketing & Sponsorship

Come Try Ringette Coordinator

  • Work with Ice Allocator for ice availability to align with WRA Participation in Community Events
  • Work with Ringette Ontario for marketing on Come Try It Events
  • Work with Volunteer Co-Ordinator for volunteers to support organization of the event, and on ice support
  • Work with Social Media and registrar for promotion 
  • Track registrations and communicates with registrants via email

Volunteer Coordinator

  • Liaise with Directors and other Coordinators to identify volunteer opportunities
  • Ensure volunteer opportunities are communicated on the website, Social Media and via email
  • Ensure tracking of Volunteering fulfillment is accurate and up to date
  • Report fulfillment of Volunteer Hours to the Treasurer for discount / reimbursement 
  • Answer membership questions about volunteering via email

Mentorship Coordinator

  • Provide training / support to new Mentors (Player and / or Coach)
  • Establish Coach Mentorship Pairings at the start of the season and answer inquiries from coaches about the program via email
  • Coordinate Player Mentorship events / opportunities between Teams in collaboration with Coaches and Team Managers
  • Recruit Junior Coaches and, in collaboration with Coach Development, match to teams
  • Support Coaches in utilizing Junior Coaches to their full potential to realize both the team’s and Junior Coach’s development goals
  • Evaluate and recommend changes to WRA Mentorship and Junior Coach programs

Applicants are encouraged to apply as soon as possible. Interviews will be conducted by the members of the board with whom the position will work most closely and will start in July. Appointments will be announced as successful candidates are found.
