April 11, 2017

I. Call to order- 7:10 pm Whitney Hall, Iroquois

Roll call- The following persons were present: Marc Nagy, Steve Gaull, Matt Ledger , David Taite, Joanne Brind’Amour, Aaron Foshay, Christy Wallace, Dain Andrews, Stanton Mackellar, Jennifer Nagy, Lisa Tucker, Carrie Anderson, John Hyde, Cameron Lee, Kim Cornacchia, Bianca Novielli + 26 members

III. Opening Remarks- Highlights from the President

  • Started with $12k ice debt and $128k in operating costs
  • Tournament and Bingo brought in $26k, despite fewer teams
  • Hit by electronic fraud, in Police hands now

IV. 2016-17 Review- Executive Reports

1) President

  • need more older players attending AGM to understand operating expenses
  • $110 000 approx regualar season Ice time (81%)
  • $9 500 approx governing bodies, ORA(8%)
  • $6 700  approx officiating (6%)
  • $3 500 approx other (marketing, photography, website…) (5%)
  • 183 players, 11 teams
  • Central thinking about creating Regional Development teams rather than association house leagues
  • Need consistent systems and development amongst associations
  • Need more volunteer/support through parent engagement
  • Only know 70% of intent for next season
  • Registration fees will stay the course despite higher ice costs

2) 1st Vice-President (CORL)

  • U12P development year, only 2 returning players, sportsmanship award
  • U14A unbeaten season, silver at Provincials
  • 16AA Nationals bound and silver at provincials

3) 2nd Vice-President (OCCRL)

  • 6 regional teams- 2 U12 teams

4) Rookie Ringette

  • 47 players each provided with Whitby Ringette jersey to keep
  •  created U8 team with 13 of the players in October for extra ice time and games at additional cost
  • power-skating in 2nd half of season at extra cost
  • great involvement on ice/bench from parents and older players regularly
  • year-end banquet provided each player with medals and skill certificates

5) Registrar

  • 183 registrations, 40 power skating, 4 goalie clinic
  • 38 coaches/asst coaches, 25 trainers/managers
  • 18 officials

6) Tournament

  • Contributed over $11 000 to Association, despite over $4 000 less revenue, fewer registered teams
  • Increase in sponsorship, vendors
  • 84 teams, 162 teams, 26 Associations
  • Bake sale, Jazzy Jar & pre-sold t-shirts
  •  Skills competition

7) Sponsorship

  • 17 corporate team sponsors over 3 teams - $6450
  • 7 tournament sponsors - $2000

8) Treasurer

  • Registration Revenue    $123,807.37
  • Total Ice Cost    $127,696.53
  • Tournament Revenue     $11,000.00
  • Bingo Revenue    $15,001.29    
  • Balance of Ice owing  $0

9) Publicity

  • April, September and December CTR events- 53 attendees for first 2 events this season of which 15 registered, March bring a friend event.
  • Formed an alliance with Trafalgar Castle School, Montessori Schools.
  • Established co-promotion agreement with Lady Blue Knights.
  • 174 members of Official Whitby Ringette Association FB page.
  • Registering WRA as a not-for-profit organization. Appealing to membership for parental support (accounting, legal) in this endeavor.
  • Looking at feasibility of hosting a golf tournament fundraiser and creating Ambassador program.

10) Player Development

  • Successful power skating program for our rookie (as young as 4) to our U14 teams. Approximately 60 players involved in this program both Voluntary and Mandatory.
  • Continues to have strong communication with parents outside our association in regards to joining the WRA.

11) Website

  • WhitbyRingette.com is now a secure site.
  • Current page views are split 51% desktop and 49% mobile.
  • Global Banner and Ringette Equipment page added.
  • Board and Coaches digital depot is being developed for forms, files, and various content to be added over the Summer 2017, password protected.

12) Ice Scheduler

  • Was able to provide consistent day of the week practices for most teams, may not remain same night for next year.
  • Reduced the regular season ice costs from $133,644 down to $114,308, saving WRA approximately $20,000 through proactive forecasting.
  • start negotiations with the town and other ice users in late May and finalize our purchase by late July / early August before we have the Regional teams finalized.

V. Questions and Answers

  • Blast email needs to be sent out about early registration
  • Sibling or referral discount being tabled, goalie discount is after the fact for ½ season in net
  • Coaches want feedback from the coaching evaluations

  • 2nd Vice President: John Hyde
  • Coach Development: Karla Xavier
  • Tournament Director: Kim Cornacchia

One-year term

  • Social Media Coordinator: Jess Nagy, Kaleigh Iondadi, Rebecca Hyde
  • Recruitment – Special Events Coordinator: Rolanda Morrow
  • Rookie Ringette Coordinator: Matt Ledger

  • 2nd Member-at-large position to be added
